Invoice Management

Designed an invoice management system for Ascend's finance team, replacing a manual spreadsheet process that touched 500+ customer accounts every month. Each account runs multiple raffle events under its own contract terms, so the hard part wasn't the interface, it was productizing the billing rules themselves: minimum charges, per-event fees, and terms that differ for every customer.

Ascend runs raffle and 50/50 campaigns for 500+ organizations. Each account runs several draws a month, and each one has its own contract with its own billing rules. Finance was reconciling all of it in spreadsheets: pulling event totals, checking them against contract terms, deciding what belonged on which invoice, then rebuilding the same work the next month. I designed a single place for that work. Events flow in from the API and land on the account they belong to. Finance confirms what actually ran, excludes what shouldn't be billed this cycle, and groups the rest into one invoice per account. The hard part was productizing the rules: minimum charges, per-event fees, and contract terms that differ for every customer. Instead of automating a calculation the finance team couldn't yet verify, I put the billing rules on the account and gave every event an explicit state, so nothing reaches an invoice without someone confirming it.
